EDI kritisch middel voor PACCAR in integratie met ketenpartners

PACCAR is een wereldspeler die drie merken vrachtwagens bouwt en op de markt brengt: het van oorsprong Nederlandse DAF en de Amerikaanse merken Peterbilt en Kenworth.

Het onderdeel PACCAR Parts focust op alle behoeften op het gebied van onderdelen die ontstaan nadat de trucks gebouwd zijn. Het doel van PACCAR Parts is een zo hoog mogelijke beschikbaarheid van alle onderdelen die de eindklant nodig heeft tijdens de levensduur van de truck.

Om dit doel te bereiken levert PACCAR Parts onderdelen aan dealers via een netwerk van distributiecentra in Europa, Amerika, Rusland en Australië.

Tim Molhoek, Demand Planning Manager bij PACCAR Parts legt uit:

“Het uiteindelijke doel voor de eindklant is om de uptime van de vrachtwagens zo hoog mogelijk te houden. Dit betekent dat de trucks zo lang mogelijk moeten rijden zonder ongeplande strandingen. Vrachtwagens worden namelijk met zeer weinig ruimte voor marge ingepland. Bij een aantal dagen stilstand legt de klant er al op toe. Dus als de onderdelenbeschikbaarheid hoog is, dan is de klant tevreden want dan kan hij de maximale potentie uit zijn wagen halen.”

Waarom ketenintegratie & EDI?

Om dit  doel te kunnen bereiken streeft PACCAR Parts een hoog niveau van ketenintegratie na. EDI is hierbij een middel om de integratie met ketenpartners te verstevigen. Ketenintegratie helpt PACCAR bij het bereiken van haar doel. Om de beschikbaarheid van onderdelen zo hoog mogelijk te houden is het noodzakelijk dat de hele keten hieraan meewerkt en actief informatie deelt.

“Wanneer dit niet gebeurt dan ligt het gevaar van het bullwhip effect op de loer: bij verandering in de vraag is het effect aan het begin van de keten nog relatief klein, maar hoe verder we naar achter gaan in de keten, hoe groter de variatie. Hierdoor raakt de hele supply chain uiteindelijk verstoord en krijgt het te maken met grote voorraadtekorten of -overschotten”, legt Tim uit.

Om de eindklant een zo hoog mogelijke uptime van hun vrachtwagens te garanderen, werkt PACCAR Parts nauw samen met zowel leveranciers als hun directe afnemers; de dealers. Aan beide kanten wordt informatie actief gedeeld om de vraag zo accuraat mogelijk te voorspellen en zo de juiste voorraden neer te kunnen leggen in de distributiecentra.

Om aan het einde van de keten de voorraad zo hoog mogelijk te houden ontvangt PACCAR parts iedere dag informatie over de actuele voorraden en verkoop bij de dealers. PACCAR doet op basis van deze informatie suggesties aan de dealers voor bestellingen.

Aan de andere kant wisselt PACCAR ook de nodige informatie uit met leveranciers, zodat zij inzicht krijgen op toekomstige behoeftes. In de rol van Demand Planner is een belangrijke verantwoordelijkheid van Tim Molhoek om te voorspellen (forecast) wat er verkocht gaat worden. Deze informatie wordt actief gedeeld in de keten.

“Hoe zichtbaarder dat voor iedereen is, hoe beter zij zich kunnen voorbereiden op eventuele veranderingen in de toekomst”, vult Tim aan.

De belangrijkste uitdaging: leveranciers aansluiten op EDI

EDI is voor PACCAR een kritisch middel om die informatie efficiënt en foutloos uit te wisselen. PACCAR streeft ernaar om zo veel mogelijk orderlijnen volledig geautomatiseerd te verwerken. Tegenwoordig is het daarom een vereiste om zaken te kunnen doen met PACCAR, zeker voor grote leveranciers.

Echter, vanuit het verleden zijn er leveranciers die EDI nog niet inzetten en waar dus nog winst te behalen valt. Winst voor PACCAR, maar uiteraard ook voor de leverancier zelf. Daarom timmert Tim hard aan de weg om leveranciers alsnog aan te haken op EDI.

Tim krijgt hierbij hulp van EDI coördinator Frans Elemans van OMS International die op detacheringsbasis werkt bij PACCAR. Frans is vanuit zijn expertise verantwoordelijk voor het technische stuk bij het tot stand brengen van EDI-verbindingen met leveranciers. Een andere belangrijke rol is het actief benaderen van leveranciers en hen overtuigen van de waarde van EDI.

“Ons argument hierbij is dat we samen toewerken naar een hogere voorspelbaarheid van de vraag en hiermee de eindklant beter bedienen en tegelijkertijd kosten besparen. Het overtuigingsproces begint vaak bij inkopers en accountmanagers. De business moet er eerst de waarde van inzien. Gaandeweg worden er technische mensen aangehaakt”, vertelt Tim.

In de drie jaar dat Tim werkzaam is bij PACCAR heeft het bedrijf mooie stappen gemaakt op het gebied van ketenintegratie. Kwantitatief ziet PACCAR dit terug in het aantal orderlijnen dat vol-geautomatiseerd wordt uitgewisseld. In de laatste twee jaar steeg dat jaarlijks met zo’n 6%.

Aan de kwalitatieve kant ziet Tim een grote verbetering in de relatie met leveranciers:

“Ik merk dat er veel meer communicatie en wederzijds vertrouwen is dan voorheen. Dat vertrouwen is belangrijk: enerzijds vertrouw je elkaar bedrijfsgevoelige informatie toe, maar anderzijds moet er ook het vertrouwen zijn dat de informatie die je krijgt accuraat is, zodat je de juiste beslissingen neemt op basis van die data.”

Namens OMS International speelt Frans hierin een belangrijke rol. Want hoewel EDI in de automotive industrie ver geïntegreerd is, zijn er binnen EDI veel standaarden en is er een expert nodig om het integratieproces in goede banen te leiden.

“Wij zochten voor deze rol een zeer specifiek profiel: EDI is al een soort niche binnen de IT-sector, dus het vinden van specialisten is daarom al een uitdaging. Maar wij zochten naast technische EDI-kennis ook iemand die de business problematiek begrijpt en praktijkervaring heeft in de logistieke sector. Met deze specifieke skills is het lastig om de juiste mensen te vinden. OMS International heeft gelukkig de juiste mensen in huis die de kennis hebben om deze rol goed te kunnen vervullen”, legt Tim uit.

De ervaringen met Frans zijn dan ook louter positief:

“Waar wij de vruchten van plukken is dat Frans ruime ervaring heeft in de logistiek. Hij kent processen en is bekend met de terminologie. EDI technisch heeft hij erg veel kennis. Hij weet waar hij de oplossing moet zoeken wanneer er issues zijn. Hij heeft kennis van het technische stuk, zoals het programmeren en het verwerken van transacties. Maar daarnaast kent Frans ook de logistieke processen die in de praktijk  plaatsvinden. Daar heeft hij ervaring en feeling mee. Dat maakt hem gewoon een hele goede combinatie voor ons”, aldus Tim Molhoek.

Vruchtbare samenwerking

Al vele jaren helpt OMS International PACCAR om ketenintegratie met EDI naar een hoger niveau te brengen. De oorsprong van deze samenwerking was al gelegd in de jaren ’90 toen Automotive bedrijven zich verenigden om communicatiestandaarden te ontwikkelen voor de industrie. Hiervoor werd de Odette vereniging opgericht, waarin DAF een bestuurspositie innam. OMS International is in 1991 opgericht om deze vereniging te ondersteunen (ODETTE Management Support). Deze mijlpaal markeerde de start van een vruchtbare samenwerking.

EDI critical tool for PACCAR in integration with chain partners

PACCAR is a global player that builds and markets three brands of trucks: daf, originally from the Netherlands, and the American brands Peterbilt and Kenworth.

The PACCAR Parts component focuses on all parts needs that arise after the trucks have been built. The goal of PACCAR Parts is to ensure the highest possible availability of all parts that the end customer needs during the life of the truck.

To achieve this goal, PACCAR Parts supplies parts to dealers through a network of distribution centers in Europe, America, Russia and Australia.

Tim Molhoek, Demand Planning Manager at PACCAR Parts explains:

“The ultimate goal for the end customer is to keep the uptime of the trucks as high as possible. This means that the trucks have to drive as long as possible without unplanned repairs. Trucks are scheduled with very little room for margin. After a few days of standstill, the customer already focuses on it. So if the parts availability is high, the customer is satisfied because then he can get the maximum potential from his vehicle.”

Why chain integration & EDI?

To achieve this goal, PACCAR Parts strives for a high level of supply chain integration. EDI is a means to strengthen the integration with supply chain partners. Supply chain integration helps PACCAR achieve its goal. In order to keep the availability of parts as high as possible, it is necessary that the entire supply chain cooperates and actively shares information.

“If this does not happen, the danger of the bullwhip effect is lurking: in the event of a change in demand, the effect at the beginning of the supply chain is still relatively small, but the further back we go in the supply chain, the greater the variation. As a result, the entire supply chain is eventually disrupted and it has to deal with large stock shortages or surpluses,” explains Tim.

In order to guarantee the end customer the highest possible uptime of their trucks, PACCAR Parts works closely with both suppliers and their direct customers; the dealers. Information is actively shared on both sides in order to predict demand as accurately as possible and thus to be able to place the right stocks in the distribution centers.

In order to keep the stock as high as possible at the end of the supply chain, PACCAR parts receives information every day about the current stocks and sales at the dealers. Based on this information, PACCAR makes suggestions to dealers for orders.

On the other hand, PACCAR also exchanges the necessary information with suppliers, so that they can gain insight into future needs. In the role of Demand Planner, an important responsibility of Tim Molhoek is to predict (forecast) what will be sold. This information is actively shared in the supply chain.

“The more visible that is for everyone, the better they can prepare for any changes in the future,” tim adds.

The main challenge: connecting suppliers to EDI

EDI is a critical means for PACCAR to exchange this information efficiently and error-free. PACCAR strives to process as many order lines as possible fully automated. Nowadays it is therefore a requirement to be able to do business with PACCAR, especially for large suppliers.

However, from the past there are suppliers who do not yet use EDI and where there is still profit to be made. Profit for PACCAR, but of course also for the supplier itself. That is why Tim is working hard to connect suppliers to EDI.

Tim gets help from EDI coordinator Frans Elemans of OMS International who works on a secondment basis at PACCAR. Based on his expertise, Frans is responsible for the technical part of establishing EDI connections with suppliers. Another important role is to actively approach suppliers and convince them of the value of EDI.

“Our argument here is that we work together towards a higher predictability of demand and thus serve the end customer better and at the same time save costs. The persuasion process often starts with buyers and account managers. The business must first see the value of it. Gradually, technical people are connected,” says Tim.

In the three years that Tim has been working at PACCAR, the company has made great strides in the field of supply chain integration. Quantitatively, PACCAR sees this reflected in the number of order lines that are exchanged fully automated. In the last two years, this has increased by about 6% annually.

On the qualitative side, Tim sees a major improvement in the relationship with suppliers:

“I notice that there is much more communication and mutual trust than before. That trust is important: on the one hand you trust each other with business-sensitive information, but on the other hand there must also be confidence that the information you receive is accurate, so that you make the right decisions based on that data.”

On behalf of OMS International, Frans plays an important role in this. Because although EDI is highly integrated in the automotive industry, there are many standards within EDI and an expert is needed to steer the integration process in the right direction.

“We were looking for a very specific profile for this role: EDI is already a kind of niche within the IT sector, so finding specialists is therefore already a challenge. But in addition to technical EDI knowledge, we were also looking for someone who understands the business problems and has practical experience in the logistics sector. With these specific skills, it is difficult to find the right people. Fortunately, OMS International has the right people in-house who have the knowledge to be able to fulfil this role properly,” tim explains.

The experiences with Frans are therefore purely positive:

“What we reap the benefits of is that Frans has extensive experience in logistics. He knows processes and is familiar with the terminology. EDI technically he has a lot of knowledge. He knows where to look for the solution when there are issues. He has knowledge of the technical part, such as programming and processing transactions. But Frans also knows the logistics processes that take place in practice. He has experience and feeling with that. That just makes him a very good combination for us,” says Tim Molhoek.

Fruitful cooperation

For many years, OMS International has been helping PACCAR to bring chain integration with EDI to a higher level. The origins of this collaboration were already laid in the 90s when Automotive companies united to develop communication standards for the industry. For this purpose, the Odette association was founded, in which DAF occupied a management position. OMS International was founded in 1991 to support this association (ODETTE Management Support). This milestone marked the start of a fruitful collaboration.
